Know exactly where every project stands, from a single source.
A PMO earns its place by driving strategic execution, improving delivery performance and building capability across every portfolio, programme and project. A modern PMO does more than watch processes: it works as a strategic partner, helping the organisation pick the initiatives that matter, see them through, and keep raising the value they create.
Contact usExecutives and steering committees work from a consolidated, up-to-date view that is comparable from one project to the next. Every decision rests on data whose source, date and completeness are traced.
Every project is tracked against the same explicit status rules, so any two statuses can be compared directly.
Budget, effort and schedule overruns surface in the cycle where they start, not at year end.
Ahead of every steering committee the consolidated portfolio is ready: figures, milestones, risks and recommendations.
Every project in the portfolio is tracked along the same four dimensions.
Budget and investment (CAPEX) tracking. For each budget line, three states are distinguished: budgeted (the approved envelope), committed (orders placed) and spent (invoices paid). The year-end projection and the variance to budget are calculated at every reporting cycle.
Internal workload is tracked by role: budgeted days, days delivered per month from timesheets, and a projection of the year-end total.
The documentation baseline is agreed at the start of the engagement, following whichever framework you work to: your own company standard, PMI or Hermes. We then check that every required document exists, is current and is kept up to date: project charter, project mandate, communication plan, specifications or backlog, risk register, and any other agreed deliverable.
Progress comes straight from your management tool (Jira or another). Milestone achievement is checked at every cycle. Scope and its changes are traced, with their impact on schedule and budget. Risks, issues and cross-project dependencies are followed through to closure.
Status report per project at the agreed frequency, monthly by default
Portfolio consolidation for every steering committee
Steering tables and charts: budget, HR, milestones
Alerts on variances, risks and missing documents
The governance of each project is part of the reporting, on the same footing as the figures: meeting frequency, minutes kept, and explicit status rules (green, amber, red) applied identically across the whole portfolio. Writing the minutes can be provided as a complementary service.
Part of the information cannot be read from any tool. It is entered by the project manager at every cycle, following a common canvas: team morale, an early signal of difficulties that do not yet show in the figures, and the overall project status.
For every piece of information: its source, its date and its completeness.
ProActys handles collection, consolidation and reporting. Operational management stays with the project manager; decisions stay with the sponsor and the steering committee.
The service runs on the tools you already have and on the framework of your choice: your own, PMI or Hermes. No licence for you to buy, no tool for you to run.
Your data and your standards stay yours, including when the engagement ends.
Reports delivered on time, data completeness per project, deviations detected before they become problems.
